Using Zoom

Our virtual meetings will be held using the Zoom platform. Dial-in numbers will be shared closer to the meeting date.

 

Zoom Best Practices & Etiquette
 

  • Please log on a few minutes before the start time to test speakers and microphone, and to minimize disruptions once the meeting begins. The zoom line will be open ten minutes before the meeting start time.
  • The meeting will be moderated by a CIFAR team member, the meeting will employ security features, so please identify yourself by name when logging into Zoom. 
  • Please mute your microphone unless you are speaking. This cuts down on excess background noise. The mute button is on the bottom left of the Zoom window.
  • As Host of the meeting, CIFAR will be able to mute people remotely.
  • Zoom has a "raise hand" feature. You can find the Raise Hand button by clicking 'Reactions' on the bottom toolbar. We will be monitoring for raised hands.

  • The meeting will be recorded to assist with note taking. If you have concerns about this, please reach out to the meeting planner prior to the meeting. 
     

Zoom Troubleshooting (Audio) 
 

Audio echo or audio feedback during meeting, there are 3 possible causes:
 

  • Cause 1: A participant has both the computer and telephone audio active
    Solution: Enter your participant ID when calling in, or enter your #participant ID# when already in the call Or, manually leave computer audio on your computer
     
  • Cause 2: Participants with computer or telephones speakers that are too close to each other
    Solution: Leave audio conference on one of the computers or hang up the telephone connections.
     
  • Cause 3: Multiple computer with active audio in the same conference room
    Solution: Disconnect computer audio from the other devices.
     

Unable to hear participant: Test your speaker and microphone
 

  • When joining a meeting, if you haven't selected to always join audio by computer, a prompt will appear. Test your speaker and microphone by clicking on "Test Computer Mic & Speakers". 

During a Meeting:
 

  • You can access your audio settings and test your audio. In the meeting controls, click the arrow next to Mute/Unmute.
